Job Summary

The Programs Coordinator role is a full-time, exempt position and reports directly to the Co-Executive Director. Our African American Art & Culture Complex (AAACC) Programs Coordinator role provides coordination and support for a wide range of projects and programs under various grant programs intended to advance the Black artist community in San Francisco. The Programs Coordinator works closely and collaboratively with multiple departments, artists and community partners to ensure AAACC can meet ambitious project/program outcomes and goals. The Programs Coordinator co-designs and implements programs that fulfill the organization’s artistic programs plan. The Programs Coordinator plays a hands-on role in the organization’s season planning, working in close relationship with the managing director and communications and development manager to carry out and manage the programmatic functions of the organization’s activities to ensure effectiveness and efficiency. The role has responsibility for ongoing operations of the programs, including but not limited to research, compliance, financial reporting, programmatic reporting, vendor coordination, business administration and communications/audience engagement.

Key Responsibilities

Program Related

  • Maintain standards of excellence for all programs, ensuring high-quality implementation and achievement of goals for participation and desired short-term impact.
  • Assist the co-executive director in examining, developing, implementing, documenting; and communicating the artistic goals, priorities and values.
  • Plan and implement goals that align with achieving AAACC’s artistic and strategic planning milestones.
  • Oversee AAACC’s program continuum and implement a sustainable community program growth plan that upholds program service quality and maintains operational excellence.
  • Collaborate with various stakeholders to represent AAACC at existing partner sites and events, community-based organizations, and the business community, assisting in the development of new strategic collaborations that expand or focus the organization’s programmatic reach.
  • Participate in an internal team review of grant applications.
  • Prepare and present programmatic written proposal summaries, analyses and recommendations for leadership.
  • Assist with the development and preparation of program docket materials.
  • Coordinate complex projects and support the implementation of the organization’s strategic vision of projects/programs.
  • Assist in the facilitation of a collaborative process of developing and maintaining project timelines, deliverables and work plans; initiate, track, coordinate and communicate multiple streams of activities to ensure that projects and deliverables are progressing according to plan and on-time, individually and connectedly.
  • Assist with the planning, coordination, and execution of all in-house events, including annual holiday events, weekly events, meetings, and building cleanups.
  • Ensure programs operate in compliance with funding sources so that intended results are achieved.
  • Co-evaluate programming to ensure it is engaging, relevant and meets the emerging needs of our partners.

Administration & Finance

  • Assist in the data entry and preparation for the reporting, budgeting and evaluation for each program and its associated activities, including workshops and programming. 

Community Engagement

  • Assist in the creation and execution of comprehensive community engagement plans aligned with the organization’s goals and values.
  • Assist in the identification of and building of relationships with key community stakeholders, including residents, local organizations and government entities.
  • Represent AAACC with external constituencies, notably, though not exclusively, artists, arts organizations and community partners.
  • Support efforts to develop, adopt and utilize a consistent and cohesive community impact narrative.
  • Hold relationships with artists and the community to deepen engagement with AAACC long-term.
  • Coordinate community events, workshops and activities to foster connection and collaboration.
  • Coordinate logistics, budgets and timelines for successful event execution.
  • Serve as a point of contact for community inquiries and concerns.
  • In coordination with the communications and development manager, assist in developing and implementing communication strategies to keep the community informed and engaged.
  • Assist in identifying and establishing partnerships with local businesses, nonprofits and other organizations to enhance community initiatives.
  • Collaborate with internal teams to leverage partnerships for mutual benefit.
  • Co-implement methods to collect and analyze community feedback and data to inform decision-making.
  • Assist in preparing reports and presentations on community engagement metrics and impact.
  • Work closely with cross-functional teams to ensure community engagement is integrated into all aspects of the organization.
  • Coordinate training and support to team members on community engagement best practices.

Profile of Candidate

  • Bachelor’s Degree in a related area and 5 years of related experience or equivalent combination; a graduate degree is a plus.
  • Experience in business administration, and program/project coordination, preferably in a non-profit or philanthropic foundation setting.
  • Experience in coordinating multiple art programs/projects simultaneously, collaboratively, and often independently, and working with cross-functional staff.
  • Knowledge of best practices and legal, accounting and regulatory requirements for grant applications.
  • Excellent verbal and written communication skills, strong customer service orientation, outstanding negotiation skills and professional composure under pressure.
  • Superior attention to detail and excellent organizational, time-management and project management skills, with the ability to self-prioritize, multitask, meet deadlines, adapt to quickly changing priorities and work independently as well as collaboratively as a team member.
  • Strong judgment, analytic reasoning, critical thinking and problem-solving skills.
  • Impeccable integrity and trustworthiness, with an ability to handle sensitive information effectively and confidentially.
  • Professional and emotional maturity that demonstrates warmth, dependability, responsiveness, initiative, flexibility, knowledge, credibility and a good sense of humor.
  • Ability to understand and translate strategy into the implementation of projects and programs.
  • Proficient with program evaluation and analysis.
  • Ability to work well with diverse colleagues with varied personalities and work styles.
  • Ability to interact effectively and maintain positive working relationships with vendors, grant providers, grantors, board and staff.
  • Experience using project management techniques and tools, plus G-Suite, Microsoft Office Suite preferred.
  • Understanding of corporate, government and nonprofit business culture. 
  • Is prepared to work beyond conventional hours, including some evenings and weekends when the role demands.

Start Time Frame: We aim to have someone in place by Spring 2024. If possible, AAACC would welcome the Programs Coordinator in May.
